Shoots Coordinator
The Shoots Coordinator supports the Shoots Manager with administrative tasks, shoot coordination, finalization and distribution of videos, and media asset management. This position helps facilitate kid-oriented videography.
The Shoots Administrative Assistant reports to the Shoots Manager.
Compensation & Benefits
Part-time, exempt: $26.00/hour
Work week: 20 hours/week, Monday - Friday with occasional additional hours during events/campaigns
Location: Hybrid, Tues-Thurs in office
PTO: 1.5 weeks (60 hours)

Shoot Coordination
Support Shoots Manager with data entry, administrative tasks, and coordination for the referral through approval process for kid reels.
Coordinate site locations, activities and gifts; communicate efficiently and professionally with a wide variety of individuals (agency/county social worker(s), foster parent(s), group home staff, etc.) to solidify details (date/time/location, etc.) for each video shoot
Work to create a shoot day for each child/teenager that reflects their unique interests and personality through the selected activity and location
Maintain all Makin’ Reels Boards in monday.com
Ensure privacy requirements are adhered to for each reel (modesty, location, etc)
Ensure sharing permission requirements are accurate in monday.com
Maintain Shoot Crew calendars
Support additional video shoots as needed

Kid Reel Finalization and Updates
Finalization
Download reels from Google Drive/Upload to Vimeo
Download images from Google Drive/Upload to project management board
Cross reference youth’s participation forms w/project management boards to ensure full accuracy of posting permissions
Upload finalized reels to TRHP’s website (if applicable)
Upload finalized reels to TRHP’s social media (if applicable)
Pull Vimeo embed codes and post page links for partner platform sites; populate project management boards (if applicable)
Add approved reels to project management board’s social media queue (if applicable)
Add approved reels to Canva for events (if applicable)
Communicate in project management system once ready for TRHP to deploy final communication out to social workers and partner platforms
Manage all kid reel mailings (flash drive copy + handwritten thank you card)
Updates
Remove/re-add reels from TRHP website as needed
Update Vimeo embed code permissions as needed; pull and record Vimeo metrics
Remove/re-add reels from Canva as needed
Remove/re-add reels from project management’s social media queue as needed
Remove/re-add reels from TRHP’s social media accounts and pull/record metrics
Media Asset Management
Maintain Video Team Drive and transfer of deliverables from Google Drive to Monday.com boards, distribution, and storage.
Oversee storage, organization, and accessibility of media files
Organize, catalog, and maintain large volumes of video files and related assets
Develop SOPS and systems for managing video assets
Develop and enforce file naming conventions, folder structures, and metadata standards
Manage ingestion of media files delivered by contractors, ensuring completeness and quality
Maintain and optimize digital asset management (DAM) systems or cloud storage platforms
Control and manage user access, permissions, and versioning of media files
Coordinate with production teams to ensure assets are properly archived and accessible
Troubleshoot file access issues and ensure timely retrieval of requested assets
Perform regular audits to ensure file integrity, consistency, and proper storage practices
Back up and safeguard all media assets according to company protocols
Qualifications
Strong organizational skills
System-oriented, accuracy-driven and detail-focused
Energized by a wide variety of one-time and recurring tasks
Ability to manage multiple tasks and deadlines with consistency
Ability to identify/solve problems and execute solutions on behalf of Shoots Manager
Experience in high level admin, operations, or shoot support preferred
Demonstrated success in transforming systems into high-performing workflows
Personal alignment with our core values and statement of faith
Proficiency in Google Suite, monday.com (or comparable platform), and CRM platforms
Excellent verbal and written communication skills, with specific attention and care paid to navigating the field of Child Welfare
Personal connection to adoption and working with youth preferred
