Privacy Policy – DONORS, WEBSITE VISITORS, EVENT HOSTS
The Reel Hope Project (TRHP) values the privacy of our donors, visitors, and event hosts. TRHP collects information only to help us better serve our donors and visitors. It is our policy to collect and store only personal information that is knowingly provided to us. We do not share personal information with third parties.
Personal Information Collected:
Through TRHP’s website, TRHP collects and stores contact information from individuals as it is knowingly provided to us. TRHP does not distribute personal information to third parties with the exception of the following circumstance: if an individual indicates that he/she would like more information on foster care and/or adoption, in which case the email address is shared with the state’s adoption exchange or similar platform and/or shared with the client’s caseworker.
We use collected information to contact individuals via email and mail with additional resources that might be of interest including upcoming events, TRHP updates, and other resources. An individual may choose at any time not to provide personally identifiable information, although this may restrict our ability to provide requested services or information.
Collected information is only stored on password protected laptops and across two, third-party data management tools that have industry standard data protections including encryption.
The following are examples of personally identifiable information that an individual may volunteer to provide and examples of how we use the information.
Email Addresses – TRHP may collect email addresses from those that make a financial donation through our secure online fundraising platform, subscribe to emails through our website, text in to our automated text line, or at the individual’s request. TRHP may use these email addresses to send email newsletters and additional email campaigns regarding TRHP updates and upcoming events. To unsubscribe from TRHP emails, use the “unsubscribe” button located at the bottom of each email. TRHP stores email addresses in a secure industry standard email marketing service and in a third-party data management tool that has industry standard data protections including encryption. TRHP does not distribute these email addresses to third parties.
Mailing Addresses – TRHP may collect mailing addresses of those that make a financial donation or host a TRHP event. TRHP may use these addresses to send a thank you letter or additional mail campaigns. To opt out of any mailings from TRHP, email info@thereelhopeproject.org and say “OPT OUT MAIL” or message TRHP on Facebook and say “OPT OUT MAIL.” TRHP stores mailing addresses in one or a combination of two third-party data management tools that have industry standard data protections including encryption. TRHP does not distribute mailing addresses to third parties.
Phone Numbers – TRHP may collect the phone numbers of those that make a financial donation, host a TRHP event, or text in. TRHP may use these numbers to communicate TRHP updates, send a thank you call, or respond to a text message. To opt out of any communication via phone from TRHP, email info@thereelhopeproject.org and say “OPT OUT PHONE” or message TRHP on Facebook and say “OPT OUT PHONE.” If you opt into TRHP’s automated text line, opt out at any time by texting STOP to (833) 756-2038. TRHP stores phone numbers in one or a combination of two third-party data management tools that have industry standard data protections including encryption. TRHP does not otherwise distribute phone numbers to third parties.
Cookies – Many websites, including TRHP’s website, use cookies, pieces of numeric data stored on your computer so that we can identify when you return to our website. TRHP can only “read” cookies that are placed on your computer from our own website. Usage of cookies is not linked to any personally identifiable information. You can select to disable cookies by changing your browser settings. If you choose to disable cookies in your browser, you will not be able to access portions of our website content.
Financial Data Security
TRHP does not disclose credit card account information provided by its donors. When donors choose to pay by credit card, TRHP submits this information directly to a secure credit card processor.

Privacy Policy – CLIENTS and CLIENT REPRESENTATIVE
The Reel Hope Project (TRHP) understands the significance and importance of the privacy of our clients and client representatives. Privacy is important to us. TRHP only collects information to help us better serve our clients and client representatives. It is our policy to collect and store only personal information that is knowingly provided to us. We do not share personal information.
What Client Personal Information Is Collected:
Client Information – Any and all client information is only collected and stored when it is directly given to TRHP via the TRHP Participation Form. This information is only stored on TRHP secured staff laptops, TRHP secured calendar (desktop and mobile), and third-party data management tools that have industry standard data protections including encryption.
What Client Representative Information is Collected:
Email Addresses – TRHP collects the email addresses of the client representatives the organization interacts with. TRHP uses those emails to communicate with the client representative regarding the client needs or TRHP Video Shoot details. TRHP may share a client representative email address when connecting him/her to another client representative; TRHP does not otherwise distribute email addresses to third parties.
Office Mailing Addresses – TRHP collects office mailing addresses of client representatives. TRHP will send via mail the finished reel and thank you letter. TRHP does not distribute these mailing addresses to third parties.
Phone Numbers – TRHP collects the phone numbers of the client representatives. TRHP uses those phone numbers to communicate with the client representative regarding the client needs or TRHP video shoot details. TRHP does not distribute these phone numbers to third parties.
Privacy and Security of the Video Footage and Reel Hope Reels
Storage
After a TRHP video shoot, video footage will be moved to either a staff or contractor videographer’s laptop which either utilizes password protection protocols and/or has standard Apple Mac security protection. When editing is completed, the reel is sent to the client’s representative for approval via a private link review page. Once the reel is viewed and approved by the client’s representative the link is disabled. Once the reel is approved, all original footage is removed. The reel is saved onto optional TRHP jump drives that are mailed to the client representative to be distributed to the client representatives and client.
*In Minnesota, the reel is always stored on a TRHP hard drive for six years after the DHS contract period ends.
If a client is adopted or ages out, TRHP will not use any of their footage or images in any new content TRHP creates.
If permission is granted for the reel to be online (whether on the state’s adoption exchange (private and/or public) TRHP’s website, a private agency website, a national agency website, social media, etc.) it is uploaded to a third-party secure video platform, which has industry standard password protections, security procedures, and encryption. This platform is only accessible to TRHP’s staff. TRHP controls which websites have permission to embed the video (depending on the permissions given by the client’s representative via the TRHP Participation Form). TRHP can disable the video from all platforms at any time. The reel will stay on TRHP’s website until TRHP is alerted that the client is no longer being recruited for, the client has been matched or adopted, an updated reel is created, TRHP’s DHS contract period ends (*MN only), or permission is revoked by the client, client representative or the client’s legal guardian – whichever happens first. At that point, the reel will be removed from all public platforms and stored on the private third party video platform and on a secure TRHP hard drive. All other client video footage is deleted and removed from all devices and storage.
Video Content
Our board of directors and staff seek to honor the youth they represent while protecting them from divulging private and permanent information to the public. Due to the personal nature of and liability and privacy concerns surrounding the youth we represent, all content (locations, activities, and conversations) must be appropriate for a broad audience and appropriate for a minor. TRHP does not include demographic labels of the youth in our video content.
Retention and Destruction
In accordance with TRHP’s DHS contract (*MN only), reels made during this contract period (2018-2023) will be destroyed six years after the completion of the contract period (2029). The reels from this contract period will be physically erased from the hard drive. Any previous TRHP staff laptops will have their harddrives wiped.
How and Where are the Video Footage and Reel Hope Project Reels used?
Once a reel is complete, all non-reel video footage of the client is deleted and TRHP no longer stores it.
Where and how a reel can be used is determined by the client’s representative in the TRHP Participation Form. TRHP honors the parameters for the reel set forth by the client representative. The reel can be removed from online sites at any time at TRHP’s discretion or if permission is revoked by the client or the client’s legal guardian.
TRHP will only keep a client’s Participation Form for six years after the contract period ends, after which point it will be destroyed.
